Welcome to AI Automapping ("AI Automapping", "the Service", "we", "our", or "us"), a product of Vedanta Software. We respect your privacy and are committed to protecting your personal information.

This Privacy Policy explains how we collect, use, store, protect, and disclose your information when you visit ai.vedantasoftware.com and use the AI Automapping service.

By using AI Automapping, you agree to the practices described in this Privacy Policy, as well as the Privacy Policy of Vedanta Software, which continues to apply to your master account.

1. Relationship with Your Vedanta Software Account

AI Automapping does not have a separate registration or sign-up process. Your AI Automapping account is automatically synced from your existing account on vedantasoftware.com, where your actual registration, identity verification, and core account details are maintained.

This means:

• Account creation, login credentials, and identity details are managed centrally on vedantasoftware.com.
• Basic profile information (such as your name, email address, mobile number, and company details) is synced from your Vedanta Software account to AI Automapping to enable access to the Service.
• Any update, correction, or deletion of your core account information must be done through your Vedanta Software account. Changes made there will reflect on AI Automapping.
• Closing or deleting your Vedanta Software account will also result in the closure of your AI Automapping access.

2. Information We Collect on AI Automapping

Account Information (Synced)

As described in Section 1, we receive and store the following information synced from your Vedanta Software account, solely to operate your AI Automapping access:

• Full Name
• Company Name
• Email Address
• Mobile Number
• Login/Authentication Identifier

Credit and Billing Information

Since AI Automapping operates on a prepaid, credit-based model, we collect and maintain:

• Credit purchase history
• Credit balance and consumption logs
• Payment transaction references (payments are processed via secure third-party payment gateways; we do not store complete card or net banking details on our servers)
• GSTIN / tax information, where applicable

Content You Submit for Mapping

To provide the Service, we collect and process the pages, documents, and files you upload for AI-based mapping, including:

• Uploaded pages/documents (e.g., PDF, image, or file formats supported by the Service)
• Metadata associated with uploaded files (file name, size, page count, upload timestamp)
• AI-generated mapping output produced from your submitted Content

Technical & Usage Information

We automatically collect technical information such as:

• IP Address
• Browser Type and Device Information
• Operating System
• Date & Time of Access
• API usage logs (endpoint calls, request/response metadata, API key identifier used)
• Error logs and performance diagnostics
• Session information

3. How We Use Your Information

We use the information described above to:

• Authenticate and provide access to AI Automapping via your synced Vedanta Software account
• Process your Content through our AI mapping engine and deliver mapping output
• Track and deduct Credits accurately (one Credit per page mapped)
• Process payments and maintain billing/invoicing records
• Monitor API usage tied to your API key(s) for security and billing accuracy
• Provide customer support and troubleshoot issues
• Detect and prevent fraud, abuse, or unauthorized use of Credits or API keys
• Improve the accuracy and performance of our AI mapping models (as described in Section 4)
• Comply with applicable legal obligations
• Inform you about our products and services, including AI Automapping and other Vedanta Software offerings, through email, SMS, WhatsApp, phone calls, or other communication channels

We may use your contact information (such as name, email address, and mobile/WhatsApp number) to send you product updates, feature announcements, offers, and other marketing communications about Vedanta Software's products and services. You may unsubscribe from promotional communications at any time; however, important service-related notifications will continue to be sent.

4. AI Processing of Your Content

AI Automapping uses automated, AI-based technology to process pages you submit for mapping. To be transparent about exactly what is and isn't used to improve our AI models, we distinguish between two types of data:

• Source Images (used only for prediction, not for training): The page/image you upload, from which AI Automapping generates a predicted area mapping, is used solely to produce your mapping output. This source image is not used to train our AI models.
• Approved Output Data (used for training): When you review and approve/publish a mapping result on your Epaper/news site, certain non-image data derived from that approved output may be used to train and improve our AI Automapping models. This helps the Service become more accurate over time for all users.
• Content may be temporarily processed via secure third-party AI/cloud infrastructure providers under confidentiality obligations, solely to deliver the Service.
• You retain ownership of the Content you submit and the mapping output generated for you. Vedanta Software does not claim ownership of your Content, even where finalized mapping data is used for model training as described above.
• If you have concerns about your finalized mapping data being used for training, please contact us to discuss available options.

5. API Keys and Security

If you use AI Automapping via API, you have to generate API keys linked to your account for authentication and Credit-usage tracking.

• You are solely responsible for keeping your API key(s) confidential and secure.
• We log API key usage (timestamps, endpoints accessed, Credits consumed) for billing accuracy and security monitoring.
• As detailed in our Terms and Conditions, we are not responsible for Credit consumption or data exposure resulting from a leaked or compromised API key on your end. Please notify us immediately if you suspect your API key has been compromised so we can assist with regeneration.

6. Data Sharing

We do not sell, rent, or trade your personal information or your uploaded Content to third parties.

Information may be shared only with:

• Payment gateway providers, for processing Credit purchases
• Cloud/hosting and AI infrastructure providers, solely to operate and deliver the Service
• Government authorities or law enforcement, where legally required

7. Data Retention

• Uploaded Content and AI-generated mapping outputs are retained for as long as reasonably necessary to provide the Service, allow you to access your mapping history, and resolve support issues, after which they may be deleted or archived as per our internal retention schedule.
• Credit purchase, consumption, and billing records are retained for the period required under applicable tax and accounting laws.
• API usage logs are retained for a reasonable period for security, billing, and fraud-prevention purposes.

You may request earlier deletion of specific uploaded Content by contacting us, subject to any legal or billing-record retention requirements.

8. Data Security

We implement industry-standard security measures to protect your account and Content, including:

• SSL/TLS Encryption
• Secure Cloud Infrastructure
• Restricted Employee Access to Content and Credit data
• API Key–based Authentication Controls
• Security Monitoring and Regular Updates

While we take reasonable precautions, no online system can guarantee 100% security. Please also refer to Section 5 (API Keys and Security) regarding your own responsibilities.

9. Your Rights

Since your core account is managed via vedantasoftware.com, requests relating to your personal profile information (access, correction, deletion) should be made through your Vedanta Software account or by emailing us from your registered email address.

For AI Automapping–specific requests — such as deletion of specific uploaded Content, mapping history, or API usage logs — you may email us directly at the address in Section 12.

10. Children's Privacy

AI Automapping is intended for business and professional use by individuals who are at least 18 years of age. We do not knowingly collect personal information from children.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be published on this page along with the updated "Last Updated" date. Continued use of AI Automapping after changes become effective constitutes acceptance of the revised Privacy Policy.
